  • For Level 3 Applications: DBS Check Required

At Level 3 your course requires you to undertake a placement at an external setting with vulnerable adults. Therefore, the College is required to obtain an enhanced DBS check for you, which the Human Resources (HR) team will assist your tutor with processing.

Before you can complete your online DBS application form, the College needs to verify your identity, in line with the DBS code of practice. During your enrolment, you will need to bring in your original identification documents (copies cannot be accepted)  for verification. A list of acceptable ID can be found below.

YOU MUST HAVE THREE VALID DOCUMENTS – AT LEAST ONE OF THESE DOCUMENTS MUST BE FROM GROUP 1.

GROUP 1 DOCUMENTS (At least one of your three documents must be from Group 1)

    • Birth Certificate Group 1 if original or Group 2 if a copy (Only UK & Channel Island Birth Certificates are accepted)
    • Please note that if you are using a Birth Certificate as a document from Group 1 it must be an original birth certificate. This means that the date on the certificate will be close to the date of birth (within a year).
    • A copy certificate (which is dated much later) can be used for Group 2 only. It will not satisfy the criteria for Group 1 – but is acceptable for Group 2.
    • Passport - If a passport is used it must be current. If your passport is not within date, it cannot be used as ID. Please check this before bringing with you as ID.
    • Provisional Driving Licence - either a provisional or full driving licence is acceptable ID for your DBS. One suggestion is that if you are short of documents you should apply for your provisional driving licence as soon as possible.  This can then be used as one of your documents and gives you the necessary document for Group 1.

GROUP 2 DOCUMENTS (You can have up to 2 documents from Group 2)

    • Bank Statement - A bank statement can be used as a document. If you have a bank account, then please ask your bank for a statement (again do not do this before the end of July as it must be less than 3 months old). The statement cannot be from the machine but must be printed in the branch and stamped. If you do not have a bank account, we suggest you open one and ensure you have a statement or an opening letter from the bank before your enrolment date.
    • Correspondence - Any correspondence used as a form of ID (from a Council or Government office) must be in your name and not your parent’s name.

    SUMMARY

You will need THREE documents. At Least one Document must be from Group 1.

    You can bring either:

    1. Three documents from Group 1
    2. Two documents from Group 1 and one document from Group 2
    3. One document from Group 1 and 2 documents from Group 2

  • Frequently asked questions for DBS Check

What if I do not have a document from Group 1?

We suggest you apply for either a passport or a driving licence

What if I do not have documents from Group 2?

    Look through the criteria.

    We suggest you:

    • Open a bank account

My passport is out of date – Can I still use it as ID?

    No

Does the passport have to be British?

No – A passport from any country is acceptable

Does a Birth Certificate have to be British?

Yes – it must be from the UK & Channel Islands

I have a letter from the government giving me my National Insurance Number. Is this acceptable?

    No.

The DBS process is a very exact one. The documentation must be correct on all three documents so please make sure in advance that you have the necessary and valid ID that meets the criteria.

Once Identity Verification has been successfully completed by a tutor and HR, you will be able to proceed with completing your online DBS application form, the details for which will be e-mailed to you as soon as possible after Identity Verification completion. For this:

    • You will need to know your NI number.
    • You will need to know your full address history over the past 5 years (with no gaps), including both postcode and the month / year of residence for from / to purposes.
    • If you have ever used a different name during your lifetime, you will again need to know the month / year of the change(s) for from / to purposes, with no gaps in time.

Unfortunately, any student who has not applied for a DBS check (i.e. completed both the Identity verification and the online DBS application) within the first 6 weeks of the 2025/26 academic year (i.e. by week ending date to be added) may not be able to proceed with their selected course

Once completed the DBS application has been completed the certificate will be sent to your home address and must be brought into college so that the certificate can be checked and the number can be documented.
